Thinking of Using AI with Your Vendor Products or Services?
Before you begin using any AI technology with a UC Davis product or service, your use case must go through a formal review. This ensures that AI tools are used safely, responsibly, and in line with campus data and technology standards.
Why This Review Matters
The review helps protect UC Davis systems and data, ensures compliance with university policies, and supports ethical AI use. FOA Leadership and the AI Governance Committee will guide you through the process.
Process Overview:
| Step 1 | In your Vendor Risk Assessment (VRA) request, explain how the AI tool will connect to UC Davis systems or data. Include details about integrations, networks, and any data sharing. |
| Step 2 | Fill out the AI Use Case Template to describe your project. If you would like assistance, you can schedule a Support Session with the FOA VRA Team. |
| Step 3 | Submit the FOA AI Inventory Form and attach your completed AI Use Case Template. |
| Step 4 | If approved by FOA Leadership, the FOA VRA Team will initiate a review by the AI Governance Committee on your behalf. |
| Step 5 | The FOA VRA Team will relay questions, concerns, and the approval status to the primary contact provided on the FOA AI Inventory Form. |
| Step 6 | After the VRA is complete, follow the Department Response process and AI Governance recommendations accordingly.
