Calendars are a great tool for avoiding scheduling conflicts for the resources that Safety Services staff share, such as meeting rooms and automobiles. Helping manage each of these calendars is a calendar attendant, a virtual assistant that enforces rules about calendar appointments. The calendar attendant can only help avoid conflicts for events that it knows about, so here's a quick refresher how best to reserve Safety Services resources.
Start by creating an event during the desired time span on your personal calendar. Next, you'll want to invite the resource that you want to reserve by inviting it, along with any people that you need to invite, by selecting Invite Attendees on the appointment window.
Then select the To… button and search for the room or vehicle you're booking. Calendar names will begin with 'Safety Services,' 'TRACS,' or 'Occ Health,' depending on their department. Next, add any required attendees. The Scheduling Assistant is a particularly helpful tool for determining if the room and invitees are available. Finally, finish your invitation by selecting Send.
The calendar will determine if you're able to book the resource and send you a confirmation or denial message. If there are changes to the event, edit the entry on your calendar and resend the invitation, which will update information for the resource and the attendees.
Directly editing a resource calendar can be tempting for those that have the ability to do it, but it's worth remembering that doing so can sometimes result in reservation conflicts or update notifications not being sent, so do so with caution.
